Plan

Managing assets in the trillions of dollars, this investment firm client knew exactly what its Luxembourg City office needed to convey – meticulously overseeing what was a challenging project from start-to-finish, particularly in terms of planning and timeframe. With a client that is a pioneer in long-term strategies, Agilité needed to employ its own strategic planning to navigate only two weeks of pre-construction, the coordination of many US-sourced items and Luxembourg’s summer shutdown.

Align

The client was heavily involved throughout the project, with progress meetings twice a week involving the entire project team proving essential to keeping the delivery on track. Daily site visits by the client’s local team and constant communication among all involved ensured that every detail aligned with their vision. The client’s proactive involvement, along with strong relationships with subcontractors and suppliers, was crucial in navigating the complex demands of the delivery.

Communicate

With three key project milestones, and no margin for error, effective communication was critical to the project’s success. Weekly Holobuilder updates allowed the client to monitor progress remotely, and afternoon meetings accommodated the client’s US-based team. Managing the supply chain and ensuring timely material deliveries was a constant challenge, and one that saw Agilité’s project manager tenaciously negotiating lead times and delivery dates to ensure nothing fell behind.

Execute

With the client seeking LEED certification for the works, sustainability was front-end-centre throughout. Extensive reuse of materials and an innovative approach to updating existing elements, also brought cost and value engineering to the project, such as using vinyl to refresh panelling vs. ordering completely new items, cleverly covering holes in the ceiling vs. replastering and, with 80 percent of the original flooring being carpet tiles, engaging a local organisation to remove, clean and either return or recycle the items – reducing waste.

Despite the challenges, the project was delivered on time and within budget. The project not only met the client’s high standards but also minimised environmental impact, making it a success on multiple fronts.
